Sharing & Permissions
When you share a drawing or a draft from the drawing editor, you choose what each person can do. This guide explains the roles and what each one allows.
Roles
The roles build on each other, from Viewer up to Owner. Drawings, drawing sets and packages offer Commenter and Editor, because they are reviewed with comments. Drafts in the drawing editor offer Viewer and Editor, because the editor has no comments.
The person who owns the drawing. Has full control including the ability to delete the drawing and its versions.
A trusted collaborator who can upload new versions, run AI reviews, invite others, and manage all comments. Cannot delete the drawing itself.
A guest reviewer who can view the drawing, add comments, and resolve issues. Ideal for external reviewers or stakeholders who need to provide feedback.
Sees a draft in the drawing editor, can download it and make their own copy, but does not change it. Ideal for a supplier or a colleague who only needs to look.

Note: When an Editor runs an AI review, it uses credits from their own team's subscription, not the drawing owner's.
Drives and folders
Every team has a team drive. Everything in it belongs to the team: everyone on the team sees it and works on it, and nothing gets lost when someone leaves. New files go there unless you pick another place. Files in "My drive" are visible only to you until you share them.

Folders pass their access down: subfolders and files in a folder get the same access as the folder, and the folder gets its drive's. You can share a single folder or file with more people, but not take away what it inherits. Moving something to another place changes who can open it, so ClearHandoff asks first when someone would lose access.
In a drive or a shared folder, a commenter opens everything in it and comments, but changes nothing. An editor also uploads files, creates folders, renames and moves things, and can share single folders and files with more people. Only team admins add people to the whole team drive. A file or folder can only be deleted by whoever created it.
Team admins can add people outside the team to the team drive, for example a supplier or a consultant. They see that drive and nothing else of the team, take no seat, and AI reviews they start run on their own team. To share only part of it, share a folder instead.
Drafts in the drawing editor
A draft you share from the drawing editor is the live drawing: everyone with access sees changes as they happen, and editors can work on it at the same time.

Everyone who is not the owner can remove a shared draft from their own files, which only ends their own access. With link sharing on, anyone with the link can view the draft, no account needed. When a draft is published, everyone keeps access: editors stay editors, viewers become commenters on the drawing.
